There is no password to remember. - Pick your studio: Use the studio list on the left after sign-in. New accounts finish setup once, then return here anytime. - Share your booking page when ready: Members book on your branded page. You control when it is live and which classes show discount spots. ### What Untapped does Untapped helps you fill empty class spots on a booking page that looks and feels like your studio. Your schedule and payments still run through Mindbody or MarianaTek - the software you already use for classes. You keep the relationship with the member. Untapped does not take a cut of class revenue. ### Admin vs your booking page Admin is where you and your team set rules, check who booked, and update branding. Your booking page is what members see - usually a link like yoursite.com/s/your-studio-name. Tip: Save both links. Most owners check admin in the morning and send members the booking page link. Schedule is where you manage classes and empty spots. Activity is who booked. Members is people. Reviews is feedback. - Studio - configure how Untapped works: Business is your name, address, and website. Integration connects Mindbody or MarianaTek. Inventory is which classes show and what they cost. Rules limits per member. Branding is colors, logo, and checkout wording. - Top bar switches: Published turns your booking page on for the public. Inventory open or paused controls whether new bookings are allowed right now. ### Where to start after signup Finish Integration, skim Inventory with a preset, style Branding, then turn Published on when you are ready. Use the chat bubble in admin if you are stuck - it can read your studio settings and point you to the right screen. ### Organization menu (left sidebar bottom) Billing is your Untapped subscription. Staff is who on your team can sign in. Owners manage both; managers usually only see assigned studios. Revenue recovered and direct bookings reflect recent Untapped activity. - Jump to Schedule: Use Open schedule when you want to change which classes accept discount bookings. ### Why numbers might look empty If integration is not finished, classes may not load yet - complete Integration first. New studios need a little booking history before trends feel meaningful. Related: admin-map, schedule-basics, activity-bookings ## Set up your first studio (first-studio) Section: Getting started | Read: 5 min Link: https://www.fillyourspots.com/docs?article=first-studio Create your studio name, booking link, timezone, and address after you sign up. ### Steps - Follow the setup flow: After checkout you are walked through creating your first studio. - Choose your public booking link: Pick a short name for the web address members will use (example: /s/pilates-on-main). Choose carefully - changing it later usually needs Untapped support. - Set your timezone: Class times, pause dates, and member-facing clocks all follow this timezone. - Connect your class software: Mindbody: finish owner activation during signup. MarianaTek: Untapped connects you after signup - confirm location under Integration. ### Studio name vs company name Most single-location studios use the same name members see on the booking page and on your Untapped bill. If you run several locations under one company, each location can be its own studio in Untapped. ### Right after you are done You land on Dashboard. Open Integration if anything is missing, then Branding and Inventory before you go live. Related: marianatek, mindbody, business-details, publish-bookings ## Business info and contact details (business-details) Section: Getting started | Read: 4 min Link: https://www.fillyourspots.com/docs?article=business-details Update your studio name, address, website, and legal links members may see. ### Steps - Open Business: Select your studio, then Business under Studio. - Studio name: This is the name members see on your booking page and sign-in screen. - Address and map: Search for your address so the map on your booking page is accurate. - Website and legal links: Add your studio website plus Terms and Privacy URLs if checkout should link to them. ### Saving changes Use Save at the bottom of the studio screens when you edit settings. Unsaved changes can be lost if you switch tabs. Tip: Timezone changes affect when Inventory pause dates start and end - double-check after daylight saving shifts. Related: booking-page-branding, first-studio, publish-bookings ## Connect Mindbody (mindbody) Section: Setup & integration | Read: 6 min Link: https://www.fillyourspots.com/docs?article=mindbody Owner approval, site ID, and picking the location Untapped should sync. ### Steps - Sign up with Mindbody selected: At get-started, choose Mindbody and enter your Mindbody site ID (a number Mindbody assigns your business). - Owner turns on Untapped in Mindbody: Log into Mindbody as the owner (not front desk). Go to Settings → Mindbody Add-ons → API Integrations and approve Untapped using the link or code we show you. - Tell Untapped you are done: On our success page, click that you finished activation, then finish studio setup and pick your Mindbody location. - Check that classes appear: Open Schedule or Inventory - you should see upcoming classes for the right room or location. ### What stays in Mindbody Your full class schedule, staff, and payments still live in Mindbody. When someone books on Untapped, the visit and payment flow into Mindbody like any other booking channel. ### Find your site ID In Mindbody: Settings → General Setup → Business Information. Look for Site ID (often five to seven digits). Your Mindbody rep can confirm it if you are unsure before you pay for Untapped. ### If activation fails Use the owner login, not a limited staff login. Make sure API Integrations shows Untapped as connected before you continue setup. Tip: On Inventory, map your discount packages to fill levels. Start with the Last-minute preset if you are not sure. Related: first-studio, pricing-and-fees, inventory-overview ## Connect MarianaTek (marianatek) Section: Setup & integration | Read: 4 min Link: https://www.fillyourspots.com/docs?article=marianatek Confirm your MarianaTek account, location, and that classes load in Untapped. ### Steps - Open Integration: Select your studio, then Integration under Studio. - Check subdomain and location: These should match where you schedule classes in MarianaTek. - Open Schedule: Pick a date range and confirm classes, capacity, and instructors look right. ### You do not rebuild your schedule here Untapped reads live classes from MarianaTek. Cancel or move a class in MarianaTek and it updates on your booking page after a short refresh. Bookings made on Untapped create a normal reservation in MarianaTek. ### Missing classes? Wrong location selected in Integration is the most common fix. Expand the date range on Schedule if you are looking far ahead. If MarianaTek credentials recently changed, contact Untapped support to reconnect. Tip: Refresh Schedule after big schedule changes so Inventory and your booking page stay in sync. Related: schedule-basics, listing-advisor-help, inventory-overview ## Schedule: classes, heatmap, and empty spots (schedule-basics) Section: Schedule & inventory | Read: 5 min Link: https://www.fillyourspots.com/docs?article=schedule-basics See what is running, how full classes are, and open Schedule when you need to act. ### Steps - Open Schedule: Select your studio, then Schedule under Operations. - Scan the week: Use the date range to find quiet classes where discount spots might help. - Use the heatmap: Darker blocks are busier times. Lighter blocks may be good windows to open more spots. - Open Inventory for rules: Schedule shows what is happening. Inventory is where you change what can be booked and for how much. ### Schedule vs Inventory Think of Schedule as your flight board - what is coming up and how full it is. Inventory is where you decide which flights offer discount seats and at what price. Related: listing-advisor-help, inventory-overview, dashboard-snapshot ## Ask Untapped AI on Schedule (listing-advisor-help) Section: Schedule & inventory | Read: 4 min Link: https://www.fillyourspots.com/docs?article=listing-advisor-help Get suggested listing and pricing settings based on how your classes have been filling. ### Steps - Open Schedule: The Ask Untapped AI card appears at the top of Schedule for your studio. - Pick a fill goal: Conservative protects your everyday pricing. Balanced is a middle ground. Aggressive opens more last-minute spots. - Analyze and suggest: We look at roughly the last 30 days and the week ahead, then suggest listing rules, urgency settings, and pricing you can apply in one click. - Review before you save: Apply fills the Inventory sections - read the summary, tweak anything, then Save your studio settings. ### What it does not do It does not add new classes to your schedule - it only recommends how to list classes you already have. You stay in control: nothing goes live until you save. Tip: Run it after you have a few weeks of history for sharper suggestions. Related: inventory-overview, inventory-advanced, schedule-basics ## Inventory & listing rules (inventory-overview) Section: Schedule & inventory | Read: 6 min Link: https://www.fillyourspots.com/docs?article=inventory-overview Control which classes appear on your booking page, preview live inventory, and set prices by fill level. ### Steps - Open Inventory: Select your studio, then Inventory under Studio. - Start with a preset: Last-minute is the default for deep discounts on nearly empty classes. Try Filling classes if you want more classes visible sooner. - Set when classes can be booked: Controls include how empty a class must be, how full it already is, how many spots you will discount, and how close to start time bookings open. - Optional quiet hours: Block discount bookings on certain days or times - like no Sunday sales or no peak hour deals. - Preview each class: Refresh the list to see whether a class would accept a booking and a short reason if not. - Map prices by how full the class is: Link each fill band to a one-credit package from your Mindbody or MarianaTek catalog. More empty seats usually means a lower price. ### What members see A class can show on the schedule but say Sold out or Check back later if your rules block booking. Classes that are too far in the future may stay hidden until they enter your booking window. Tip: Rules on the Rules tab (cooldowns, booking caps) are separate - they limit a specific person at checkout. ### Preset cheat sheet Last-minute: within about 24 hours, up to 5 open spots - classic empty-class rescue. Filling classes: partly full classes, more open spots allowed. Same-day and More classes: tighter or wider time windows when you want different pacing. ### Reading preview statuses Too packed: not enough empty seats left. Not filling yet: class has not reached your minimum fullness. Over open limit: more open spots than you allow for discounts. Too early: outside the window when you start accepting bookings. Schedule restriction: you blocked that day or time. Bookable: a member can check out at the matched price. Related: rules-overview, publish-bookings, pricing-and-fees ## Class fees, tiers, and your member software (pricing-and-fees) Section: Schedule & inventory | Read: 4 min Link: https://www.fillyourspots.com/docs?article=pricing-and-fees How Untapped tier pricing works, what you set in Mindbody or MarianaTek, and what members pay at checkout. ### Steps - Two places prices live: Mindbody or MarianaTek holds your services and packages. Untapped picks which package price to offer based on how full the class is. - Set discount prices in Untapped: On Inventory, connect each fill level to a one-credit package from your synced list. Emptier classes usually map to cheaper packages. - Change base prices in Mindbody or MarianaTek: To change what your software charges for the underlying class or package, edit it there, then refresh Inventory in Untapped. - Show a was/now price on your booking page: Under Branding, add a regular walk-in price. Members see it crossed out when your Untapped price is lower. ### Changing per-class fees If you mean the drop-in price inside Mindbody or MarianaTek, change it in that system - Untapped reads packages, it does not edit each class row. If you mean what discount members pay on Untapped, adjust your fill-level packages on Inventory. ### Checkout amount Members buy the package tied to how full the class is when they book. If preview says the class is not bookable, fix listing rules first - price will not matter yet. Tip: Open the chat bubble in admin with your studio selected - we can explain your current tier setup without changing anything. Related: inventory-overview, booking-page-branding, marianatek, mindbody ## Urgency boosts and last-minute pricing (inventory-advanced) Section: Schedule & inventory | Read: 5 min Link: https://www.fillyourspots.com/docs?article=inventory-advanced Optional tools that loosen rules or drop price as class time gets closer. ### Steps - Open Inventory: Scroll past listing presets to urgency boosts and last-minute pricing. - Urgency boosts: Gently relax your normal rules as start time approaches so more spots can open. Good when classes are close to start and still empty. - Last-minute pricing: Switch to a cheaper package when a class is within a set number of hours and has enough open spots. - Try Ask Untapped AI first: On Schedule, Analyze and suggest can turn these on with sensible defaults. ### Keep it simple at first Many studios run happily on a preset plus tier mapping alone. Add boosts or last-minute pricing when you understand your baseline rules. Related: inventory-overview, listing-advisor-help, pricing-and-fees ## What members see when they book (how-members-book) Section: Booking page | Read: 4 min Link: https://www.fillyourspots.com/docs?article=how-members-book Phone sign-in, schedule, checkout, and messages like Sold out. ### Steps - Share your booking link: Send your public /s/studio-name link - not the admin link. - Sign in with phone: Members enter their mobile number and a code by text - similar to many modern apps. - Pick a class and pay: They see your branding, open spots, and the price for that class. Payment runs through your connected software. - Test it yourself: Before go-live, book once using your own phone to walk through the full flow. ### Sold out vs hidden Sold out or Check back later usually means your Inventory rules blocked booking, not that the class vanished from Mindbody. Some classes appear only when they enter your booking window. Related: publish-bookings, booking-page-branding, rules-overview ## Customize your booking page (booking-page-branding) Section: Booking page | Read: 6 min Link: https://www.fillyourspots.com/docs?article=booking-page-branding Logo, colors, copy, and checkout settings members see when they book. ### Steps - Open Branding: Select your studio, then Branding under Studio (this is your member-facing booking page). - Logo and photos: Upload a logo and optional hero image. Keep files under 5 MB. - Colors: Primary is headings. Accent is buttons and highlights. If accent is dark, set text color to a light shade so dates stay readable. - Import from your website: Paste your studio website URL and Untapped can pull colors and images to get you started faster. - Walk-in compare price: Optional higher walk-in amount shown crossed out when your Untapped price is lower. - Checkout wording: Review terms and final-sale checkboxes members must accept before paying. ### Preview before you are live Staff can preview styling before Published is on. Members only see the public link when you go live. Related: publish-bookings, business-details, how-members-book ## Go live with bookings (publish-bookings) Section: Booking page | Read: 4 min Link: https://www.fillyourspots.com/docs?article=publish-bookings Turn bookings on, publish your studio, and share your link. ### Steps - Finish the basics: Integration connected, Branding looks right, Inventory has a preset and prices mapped. - Turn Published on: At the top of admin with your studio open, switch Published on so the public booking link works. - Turn Inventory on: Inventory open allows new bookings. You can pause inventory without taking the page offline. - Share your link: Use your /s/studio-name link in email, social bios, and front desk signage. ### Before you tell members Book a test class with your own phone. Confirm it shows in Activity and in Mindbody or MarianaTek. Tip: Need to pause tonight? Turn Inventory off - you do not have to unpublish the whole page. (troubleshooting-publish) Section: Booking page | Read: 3 min Link: https://www.fillyourspots.com/docs?article=troubleshooting-publish Check publish status, inventory availability, integration, and billing before members can book. ### Steps - Published switch: At the top of admin, Published must be on. Otherwise members only see a preview, not a live booking page. - Inventory switch: Published shows the page. Inventory open allows new bookings right now. - Integration finished?: Mindbody needs owner approval in Add-ons plus a location picked. MarianaTek needs the right location on Integration. - Billing current?: If payment is past due, admin may be read-only until you update Billing. ### Wrong link? Members need your /s/studio-name link, not the admin login URL. Staff preview is different from what the public sees. ### Still stuck? Use the chat bubble in admin - with your studio open we can read publish, inventory, and integration status and tell you what is off. Related: publish-bookings, mindbody, marianatek, billing-basics ## Per-member booking limits (rules-overview) Section: Rules & guardrails | Read: 4 min Link: https://www.fillyourspots.com/docs?article=rules-overview Cooldowns and caps for individual members at checkout - separate from which classes show. ### Steps - Open Rules: Select your studio, then Rules under Studio. - Cooldown: Stop the same person from booking back-to-back discount classes if that does not fit your policy. - Active booking cap: Limit how many upcoming discount bookings one person can hold. - Unlimited plans: Optionally block unlimited members from buying discount spots. ### Not the same as Inventory Inventory decides which classes offer discount spots and at what price. Rules decide whether a specific person is allowed to complete checkout right now. ### Starting points many studios use A few hours between bookings and a cap of two or three upcoming discount reservations. Adjust after you see patterns in Activity. Related: inventory-overview, members-basics, how-members-book ## Bookings and Activity (activity-bookings) Section: Members & activity | Read: 4 min Link: https://www.fillyourspots.com/docs?article=activity-bookings See who booked, check status, and cancel when your policy allows. ### Steps - Open Activity: Select your studio, then Activity under Operations. - Filter by date or class: Helpful for front desk check-in and end-of-day review. - Cancel if needed: Cancellations flow through to Mindbody or MarianaTek when your role allows it. ### Activity vs Members Activity is the list of bookings. Members is the list of people - open someone to see their history. Related: members-basics, dashboard-snapshot ## Members list (members-basics) Section: Members & activity | Read: 4 min Link: https://www.fillyourspots.com/docs?article=members-basics Look up people who booked and turn off booking access when needed. ### Steps - Open Members: Under Operations, Members lists people who booked through Untapped. - Open a profile: See their bookings and any reviews they left. - Disable booking access: They cannot complete new Untapped bookings until you turn access back on. ### Disable does not cancel past visits Handle no-shows or refunds in Mindbody or MarianaTek separately if needed. Disabling is reversible when someone should be allowed back. Tip: Agree on a front-desk policy before disabling accounts so your team stays consistent. Related: activity-bookings, rules-overview ## Reviews from members (reviews-manage) Section: Reviews | Read: 3 min Link: https://www.fillyourspots.com/docs?article=reviews-manage What shows on your booking page vs private notes for your team. ### Steps - Open Reviews: Under Operations, Reviews lists ratings after attended classes. - Private comments: Some feedback is only visible to your team, not on the public page. - Watch trends: Repeated themes help you coach instructors or adjust the experience. ### Public summary Strong public reviews can appear on your booking page summary. Use private notes for honest feedback you do not want marketed. Related: booking-page-branding, activity-bookings ## Invite your team (team-access) Section: Team & billing | Read: 5 min Link: https://www.fillyourspots.com/docs?article=team-access Give front desk and managers access without sharing your personal login. ### Steps - Open Staff: Owners use Staff in the admin sidebar. - Invite by email: They sign in with the same email code flow you use - no shared password. - Pick role and studios: Managers can run day-to-day work on assigned locations without seeing your whole company. ### Roles in plain terms Owners control billing, staff, and all studios in the organization. Managers usually handle schedule, bookings, and branding for assigned studios only. Related: billing-basics, admin-map ## Your Untapped subscription (billing-basics) Section: Team & billing | Read: 3 min Link: https://www.fillyourspots.com/docs?article=billing-basics Platform billing is separate from what members pay for classes. ### Steps - Open Billing: Owners see Billing in the admin sidebar. - Update card or view invoices: Use the secure billing portal link from that page. - Past due?: Admin may become read-only until payment is current. Members can still be affected if you cannot save settings. ### What you are paying for Your Untapped monthly fee covers the platform - not individual class purchases. Class payments still flow through Mindbody or MarianaTek like they do today. Related: team-access, troubleshooting-publish ## Use your own web address (custom-domains) Section: Booking page | Read: 4 min Link: https://www.fillyourspots.com/docs?article=custom-domains Optional custom domain for your booking page (organization owners). ### Steps - Who can set this up: Organization owners add domains from Custom Domains in the admin sidebar. - Add your domain: Enter the address you want (for example book.yourstudio.com) and follow the DNS steps shown. - Wait for verification: DNS can take up to a day to propagate. The page shows status until it is ready. ### Members still book the same way A custom domain is another path to the same booking page - your rules, branding, and Inventory settings do not change. You can still use your /s/studio-name link while DNS is pending.
